Privacy notice
This notice explains, in plain English, what personal information TrackMyMaths collects for the free Maths Health Check, why, and what your rights are.
Who we are
The data controller is Saima Ghazanfar trading as TrackMyMaths (“we”). Contact: WhatsApp 07467 151915.
What we collect
- When you book the free Health Check: your first name, your WhatsApp mobile number, your email (so we can send the confirmation with the Google Meet link), your child’s first name, the time you chose, and your consent tick. That is all.
- During the Health Check: your child’s first name, their answers, and up to 4 photos of their working.
- If you ask us to call you back: your name, mobile number and a preferred time.
- Technical data: a scrambled (hashed) version of your IP address, used only to stop spam bookings. If you arrive from one of our flyers or links, we note a short channel code such as “flyer”; it doesn’t identify you.
We don’t ask for surnames, your child’s school, date of birth, address or photo.
Why we use it
Only to arrange and run your child’s free Health Check, and to send you the report.
Lawful basis
Consent, given by you as the parent or carer when you tick the box on the booking form. You can withdraw it at any time by WhatsApp, and we will delete your details.
How long we keep it
- We keep it for 7 days after the Health Check, then delete it automatically. This includes the booking, answers, working photos and the report, and bookings that were cancelled or missed.
- Callback requests are deleted 7 days after you ask.
- The only exception: if you enrol in a class, we keep what we need to run the classes, and we explain this when you sign up.
Who we share it with
Nobody. We never sell or share your details. These service providers (processors) store or handle data for us, only on our instructions:
- Vercel: website hosting.
- Supabase: database, hosted in London.
- Google: Google Meet, for the online session.
- Resend: sends the confirmation and reminder emails.
- Anthropic: powers the chat assistant on this website, if you use it. Please don’t type your child’s personal details into the chat. We don’t store chat transcripts.
Marketing and cookies
We send no marketing. This website uses no analytics, advertising or tracking cookies. The only cookie is a strictly necessary sign-in cookie for our own staff area.
Your rights
- Access: ask for a copy of what we hold about you or your child.
- Deletion now: ask us by WhatsApp to delete everything straight away, without waiting 7 days.
- Complaint: if you’re unhappy, please tell us first. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
